<p>Dental insurance can be a frustrating topic for dentists and dental team members. In this article, we&#8217;ll review common concerns from both sides, then present an end-of-the-year insurance benefits template that you can use for your insurance patients.</p>
<p><strong>Staff&#8217;s Viewpoint</strong></p>
<p>“There are just too many insurance plans to keep track of. Why don’t the patients understand their dental benefits?”</p>
<p>“I get so weary trying to explain these benefits.”</p>
<p>“It is so time-consuming to do pre-authorizations, and 80% of the patients still say &#8216;no&#8217; to treatment after we wait for weeks to get the responses back. What a waste of time!”</p>
<p>“Doctor wants to become a provider of a few PPOs. We have always been fee for service. Why the change now?”</p>
<p>“We (the team members) will never get a raise if the practice writes off so much of our regular fees.”</p>
<p><strong>Doctor&#8217;s Viewpoint</strong></p>
<p>“The hardest part of practicing dentistry is the constant change in the patients’ benefit plans. How can one local business/company have so many different plans? No wonder the patients are confused. We need to hire a full-time dental benefits expert to keep our heads above water and our patients informed.”<span id="more-3343"></span></p>
<p>“Why is it that so many patients must have in writing just exactly what their plan will cover? Most of their treatment plans exceed their annual maximum benefit. And it seems that the pre-determination is nothing but a delay tactic dreamed up by the insurance company knowing that 75% or more of the patients say no to their treatment plan by waiting to hear back in a few weeks.”</p>
<p>“In the past 20 years, I have remained fee for service, but it has become increasingly difficult to attract and keep patients in the slower economy as patients feel their ONLY OPTION is to go to a dentist on their plan. With so many dentists around me accepting XYZ plan, and as low as my new patient number is per month, I have two choices: either spend $6,000 per month on an expensive marketing plan to attract FFS patients or go on a plan or two to compete. I will have a busier schedule and write off about $4000 per month. At this point, I must reevaluate my pride, philosophy, and my marketing budget/versus write offs to measure the differences.”<br />

In this slower economy the past year, team members are spending an inordinate amount of time on insurance verifications, requested pre-authorizations, insurance follow up, billing and explanations of benefits. They are also handling more patient complaints regarding their dental benefit plans and out of pocket differences.</p>
<p>For the first time in 20 to 30 years, the die-hard, fee-for-service dentists are finding emptier chairs and less case acceptance than ever before. In order for practices to survive versus just get by month to month…right now is the time to send out the END OF THE YEAR INSURANCE LETTER to help patients maximize their benefits for the calendar year (if the benefit renews in January). Here is a sample that can help make October, November, December and January your four biggest months of all (December/January with split year cases to take advantage of benefits in both calendar years).</p>
<p><strong>PATIENT LETTER OR CARD:</strong></p>
<p>Just a friendly reminder&#8230;.</p>
<p>Most insurance plans have a calendar year maximum and deductible period, and insurance maximums do not roll over from year to year.  This means that if you have unused benefits at the end of the year, you lose them.</p>
<p>Each year, our schedule is very full in November and December as patients have dentistry completed to take advantage of their dental benefits.  If you wish to have treatment completed before the end of the year, please call to schedule your appointment soon.</p>
<p>If you have questions about your benefits, or about recommended treatment, please don&#8217;t hesitate to call!<br />
Remember, you earn your benefits, so make the most of them!</p>

			<content:encoded><![CDATA[<p>We have all been on other forums where anyone can post anything about anyone. This often leads to angry and self-ritious grandstanding. In other words, confrontation for the sake of protecting ones turf, as opposed to simply sharing ideas for the simple sake of helping others. All the authors of this forum have the obligation and responsibility to maintain an environment where anyone feels comfortable asking a question or sharing a view without being ridiculed or interrogated. There are too many forums where this mentailty exist. The end result is that only a few meaningful post are presented which are then attacked and no one else post anything. That will not happen here. If you have any question or want to share an idea in a thoughtful way, please do so. That is what this forum is about. We have the best and brightest here and they truly want to help others achieve the same success that they have. They willingly share their ideas and experiances without any form of compensation other than the warm feeling of knowing they made a difference. So I personally invite all of you to ask or share whatever you wish because I bet you will have more to teach me as I have to teach you.</p>

			<content:encoded><![CDATA[<p>There is a whole new approach, which I must say truly works, take yourself&nbsp; (Dr.) out of the case presentation and&nbsp;get your &nbsp;Team&nbsp;to training&nbsp;to do these for you. You case acceptance will be greater and so will the total dollar amounts on your treatment plans. Get your Team trained to handle the consultations. Team members bond easily with patients and become their friends. Patients find it easier to talk with them about dental concerns because they see us as&nbsp; not judgemental and have nothing financially to gain from the patient accepting or not accepting treatment. Give the Team the digital photos they need to help your patients see what their dental health is really like. It is not about selling dentistry, it is about helping patients truly see inside their own mouths and take ownership of the dental conditions. When they see, for instance,&nbsp; how tooth number 30 has the entire back cracked off and the white gunk that is on the inside of their lower teeth they will want to ask for help to get those things taken care of. Trust me on this, do your research, get some training for your&nbsp; Team and you are on your way to better case presentation and acceptance.&nbsp;Remember, case presentation starts with the very first phone call to your office; be sure all the right people are in the right places.</p>

			<content:encoded><![CDATA[<p>Another day when having the Office Manual saves me from being the bad guy. I do not believe staff set out to make life difficult but we all learn from past errors. You know those times when you are really busy, and only half listening, when a member of your TEAM approaches you and ask, what seems like a simple questions, and you without thinking, give a quick answer to get rid of them. Later you find out what you agreed to and the implications on the entire TEAM. With an Office Manual in place that is less likely to happen. You need to cover all the bases in the Manual. As simple as arrival times and as complex as maternity leave, it needs to be documented. For those of you who have been practicing for awhile, remember all the little situations that made you uncomfortable and have rules in place&nbsp;to keep from being put in those situations again.It happened in our office today and boy the Office Manual saved the day again and there were no hard feelings. Every member of the TEAM should have their own copy and get updates as they are needed.</p>

New patient no show rates are tied directly , in my opinion, to&nbsp;how the inital&nbsp;call is being handled. I would never want the person who handles the checking in and out of patients, scheduling, collecting and fielding phone calls, to be the same person who is trying to create great happenings on the phone with a &ldquo;New&rdquo; patient. The person working the front line in most dental practices is already stretched too thin to have the valuable time it takes to field and screen &ldquo;New&rdquo; patient phone calls. Delegate that to a person on your Team who has the flexability to spend time creating a relationship on the phone with the &ldquo;New&rdquo; patient before they ever enter your office. &ldquo;new&rdquo; patients who have an established relationship with a member of your Team never miss appointments, they already value what your practice is about and care too much to not show.</p>
